These terms cover use of ItemDocs by manufacturers and brands. Reading a product page as a customer is free and requires no agreement.

Who you’re dealing with
ItemDocs is operated by Nexivara (“we”), a sole proprietorship of Karan Bindal, D 102, Green Oak Apartment, Meera Marg, Banipark, Jaipur 302016, Rajasthan, India, GSTIN 08AWPPB6630G2ZH. By creating an account you accept these terms on behalf of yourself and the organisation you create or join. Questions: the contact form.
Accounts and teams
Each account is for one person. Keep your password to yourself; you’re responsible for what happens under your account. Owners decide who joins their organisation and with which role, and can transfer ownership or remove members at any time. Anyone can leave an organisation or delete their own account, except the last owner of an organisation with other members, who transfers ownership first.
Your content
You keep ownership of everything you upload. You grant ItemDocs the licence needed to host it, adapt it technically (for example resizing images) and show it to people who open your product pages. You are responsible for having the rights to publish it and for its accuracy — especially safety information, recalls and warranty terms.
You can export your content at any time from Settings and delete it, or your whole organisation, yourself.
Plans and payment
The Free plan includes one product, forever. Paid plans are priced monthly or annually by number of active products and file storage; scans are never metered. Draft, published, unpublished and discontinued products are active; archived products are not. Plans are prepaid online through Razorpay for a month or a year at a time and never renew automatically; each payment comes with a GST invoice from us. A plan that isn’t renewed keeps working for 7 days after its period ends, then moves to Free. Prices are set in US dollars and shown in local currencies for many countries, converted at fixed exchange rates and rounded; you pay the price in the currency shown when you buy. Prices exclude taxes; customers in India are charged 18% GST. ItemDocs is sold to businesses, not consumers. Businesses outside India pay no Indian GST (an export of services, paid in foreign currency); any VAT or GST due in their own country is theirs to account for under the reverse charge. If you downgrade, products above the new limit are archived — their pages stay online with support details so printed QR codes keep working. Acceptable use
ItemDocs is for documenting physical products. You may not use it to:
- publish content that is unlawful, infringes someone else’s rights, or misrepresents who makes a product;
- host malware, phishing pages, deceptive links or content unrelated to a product;
- collect customers’ personal data you have no lawful basis for, or use product registration to send unsolicited marketing;
- impersonate another brand, or publish false or dangerous safety, recall or warranty information;
- probe, overload or circumvent the security, rate limits or plan limits of the service, or access other organisations’ data.
Uploads are checked and limited by type and size.
Reporting a problem and takedown
Anyone can report a product page that is wrong, unsafe, infringing or abusive with Report a problem, linked in the footer of the ItemDocs website. We review reports, contact the brand when appropriate, and may remove content or suspend an organisation’s public pages while we investigate. When we suspend an organisation its members can still sign in to view and export their data, but cannot make changes. If you think a takedown was a mistake, reply through the contact form and we’ll review it again.
Personal data
How we handle personal data is described in the Privacy notice. For the customer details you collect with product registration, you are the controller and ItemDocs is your processor; our Data Processing Agreement forms part of these terms. You are responsible for telling your customers how you use their registration details and for answering their requests (we’ll help).
Ending your use
You can stop at any time by deleting your organisation in Settings. We may suspend or close an account that breaks these terms, after warning you where the law and the situation allow. Either way, deleted data is kept for 30 days for recovery and then permanently erased.
Availability and liability
We work to keep every page fast and online, but the service is provided as is; our liability is limited to the fees you paid in the previous twelve months. Nothing in these terms limits liability that can’t be limited by law. Enterprise agreements can include an SLA.
Changes
We’ll update this page when the terms change and show the date at the top. For material changes we’ll tell account owners in the Console before they take effect.
