Warranty registration from the box, in one scan
The paper warranty card asks customers to find a pen, a stamp and a post box. With ItemDocs, the same QR code that opens the manual lets them register the product in about thirty seconds, on their phone.
- Customer
- Scan the code, open Warranty, fill in the form. No app and no account.
- Fields
- You decide: each one off, optional or required.
- Confirmation
- On screen and by email, with the date the warranty ends where it can be known.
- Your data
- Registrations in the Console, CSV export, hosted in the EU (Frankfurt).
- Plans
- Included in every plan, including the free one.
What the customer does
- Scan the code on the box, the product or the insert with the phone camera. No app and no account.
- Open Warranty. The page shows how long the warranty runs, what it covers, what it doesn’t and how to claim, with a Register product button.
- Fill in the form in a bottom sheet: only the fields you switched on, in the page’s language.
- See the result straight away. If your warranty runs from purchase, installation or registration, the confirmation shows the date it ends, for example “Your warranty runs until 15 March 2028”.
- Get a confirmation email with the product, its ID and the warranty end date, and a note to keep it with the proof of purchase.
A customer who owns two of the same product can register the second straight after the first. On the demo page the form works end to end, but because the brand is fictional nothing you enter is stored and no email is sent.
What you set up
Registration is switched on per product, from the product’s Warranty settings in the Console. You decide what to ask for. Ask for as little as you need: every extra field costs registrations.
| Field | Default | Notes |
|---|---|---|
| Full name | Required | |
| Required | Needed for the confirmation email | |
| Purchase date | Required | Can’t be in the future; used for the warranty end date |
| Installation date | Off | Asked automatically when the warranty runs from installation; can be left blank until then |
| Serial number | Optional | Shown in a monospaced font so it is easy to check |
| Where did you buy it? | Optional | Retailer or marketplace |
| Invoice number | Off | |
| Phone | Optional | |
| Address | Off | For brands that send parts or service visits |
- Your own intro text at the top of the form, in place of the default (“Activates your 2-year warranty and lets your brand reach you about safety notices”).
- An optional consent line for marketing, shown as an unticked checkbox. Leave it empty and no checkbox appears. The registration itself never depends on it.
- Translations of the intro and consent text for each language the page is published in. Until the consent text is translated, the original wording is shown and marked with its language, so the legal text is never silently dropped.
- A retention period of 12, 24, 36, 60 or 120 months, after which registrations are deleted automatically. Without one, they are kept until you delete them.
Warranty terms as text, not a scanned card
The warranty module is structured, so it reads well on a phone and powers the end date in the confirmation:
- Duration in months, or a label such as “Lifetime”.
- When it starts: from purchase, from installation, from registration, or from manufacture. For warranties that run from manufacture, no end date is promised, because the customer can’t know it; the confirmation says the warranty runs from the date of manufacture instead.
- Coverage, exclusions, how to claim and the documents needed, as short paragraphs.
- The full warranty terms as a PDF, one tap away.
Change the terms for new production and the page changes the same day. For products already sold under older terms, keep the older document available alongside, labelled by version, so customers can find the terms that applied when they bought.
Registrations, alerts and CSV export
Registrations appear in the Console per product and across the catalogue. Each new registration also sends an alert to your support email address. The alert contains no customer data, only the product ID and a link to the Console, so personal details don’t sit in inboxes.
The CSV export has one row per registration, with these columns:
registered_at, product, itemdocs_id, name, email, phone, purchase_date, purchase_location, invoice_number, serial_number, address, marketing_consent, warranty_ends, country, installation_date.
Import it into your CRM or service system, or use it to reach owners when you issue a safety notice. Registrations are also counted in your analytics next to scans and searches, so you can see how many scanning customers go on to register.
Data protection
The customer’s details belong to your brand. Under the ItemDocs Data Processing Agreement, your brand is the controller of the registration data and ItemDocs (operated by Nexivara) is the processor. The form tells customers so: “Your details go to your brand, not ItemDocs.”
- Data is hosted in the EU (Frankfurt). Sub-processors are listed in the privacy notice.
- Owners and admins can delete an individual registration when a customer asks to be erased; the activity log records that a deletion happened, not the personal data.
- The form is protected against spam with rate limits and a hidden honeypot field, and confirmation emails are capped per recipient and per brand, so the form can’t be used to send mail to strangers.
- Product pages set no cookies. Customers never create an account.
More on how ItemDocs handles data is on the security and privacy page.
Questions
Can I keep a paper warranty card as well?
Yes. You can print a short card that says “Register your product: scan the code” with the same QR. Customers who prefer paper can still use your existing process.
Does the customer need to register for the warranty to be valid?
That is your policy, not ours. ItemDocs supports both: a warranty that runs from purchase (registration is a convenience) and one that runs from registration.
Is registration included in every plan?
Yes. Every plan, including the free one, has every module. Plans differ only by the number of products and file storage. See pricing.
Can customers register in Hindi or other languages?
Yes. The form, its labels and its error messages follow the page language, for every language you publish. Indian brands can read more on the India page.
- Decide when the warranty starts: purchase, installation, registration or manufacture.
- Keep the form to three or four fields.
- Add a consent line only if you will actually send marketing, and write it in plain words.
- Set a retention period that matches your warranty length plus your claims window.
- Put a support email in your brand settings so you get the new-registration alerts.
- Test it on your phone, then print “Scan to register your warranty” next to the code.
